Make Calls and Send Texts

Reach a client from the Phone page and keep the whole thread on their record.

Outbound calls and texts both start from the Phone page, go out on your own line, and file themselves against the client afterwards. This covers dialling, composing a text, reusing saved wording, and tidying threads you are done with.

Start a Call From the Dialer

  1. On the Calls tab, select New call.
  2. Type a name to search your contacts, or key in digits on the keypad. Matching contacts show with their number, and picking one dials it.
  3. Select the call button, which names the number you are about to ring.

If your line is still connecting, the dialog says calling unlocks in a moment and the button stays disabled until it does.

You do not have to come here to dial someone you are already looking at. A deal carries Call client at the top right, which rings its primary applicant, and contact rows across the app offer Call on their own. Each one places the call on the same line and files it against the client the same way.

Send a Text

On the Texts tab, select New text, fill in To and Message, and send. Where you have more than one line available, Send as decides the number the client sees, and it is the same stored choice the dialer reads, so a call and a text from you go out on one number.

A STOP reply blocks the send

A number that has replied STOP is refused with a message saying so. That person has to reply START before you can text them again.

Texting on an Outside Phone Service

A brokerage whose phones run on Dialpad or Quo texts from that service, and does not need a BrokerPlus number to do it. Your text goes out from your own line there, matched to you by the email address you sign in with on both sides, and a teammate with no line of their own sends from the team's. A number of your own always wins where you have one.

This covers starting a conversation as well as replying to one, and it is the same everywhere a text can be sent from: a client's file, a report you are sending over, a text campaign, and the follow-ups your automations send on your behalf. The Send as choice does not apply to these.

Calling is different. Neither service will place a call for us, so the in-app dialer needs a BrokerPlus number and you go on dialling in their app until you have one.

On Quo, the calls you take there still land in your BrokerPlus call log a moment after you hang up, with the recording and the transcript, and the summary and follow-ups are written from them the same as any other call. Quo has to be connected by an admin at your brokerage for that to happen.

Start From a Template or a Snippet

Type / in the message box and pick a snippet to drop saved wording in, the same way you would in an email.

When you compose about a specific client rather than a bare number, a Template picker appears with your saved versions, split into My templates and Shared with team where your team has shared any. Choosing one fills that client's details into the wording.

Turn On Automated Follow-Ups

The Automated follow-ups switch sits beside the send button whenever the text is about a client's file. It starts off every time, and turning it on is all it takes: the line under it names the days the follow-ups go out if the client does not reply.

How a Conversation Files Itself

Texting a number that is not yet in your book creates a contact for it and records that person as a lead. The conversation is threaded against the contact, and replies land in the mailbox of whoever owns the line it went out on, so a text sent on a colleague's number does not lose its answer.

File a Call You Had Somewhere Else

A call taken on your cell or recorded by another tool can still live in the log. On the Calls tab, select Upload Transcript, then paste the conversation or drop a plain text file into the box. One line per speaker with the name before a colon works best. The speakers are worked out for you, and a phone number or a date in the text is used to match the client and place the call in time.

The call is filed like any other: it shows the transcript, and the summary and follow-ups appear a moment later. Text that is not a conversation, such as an email, is refused with a note saying why.

Keep a Call's Summary on the Deal

When a call belongs to a client with a deal, Save as Note sits at the top of the call, beside the call button. Selecting it asks which section of the deal's notes the summary should go under, such as Discovery Call or Strategy, and files it there for anyone on the file to read.

The button reads Saved as Note once the summary is on the deal, and opening it again shows which sections already hold it. Those sections are ticked and cannot be picked twice, so pressing the button again never files a second copy. The other sections stay available if you want the same summary in more than one place, and removing the note from the deal clears its tick.

The button only appears once there is something to file: a call with no deal attached, or one whose summary has not been written yet, does not show it.

Mark a Text Thread Read or Unread

A new text arrives unread, in bold with a dot beside the client's name, and a notification lands in your bell that opens the conversation. It stays unread until you select it. Opening the Texts tab shows the newest conversation without marking it read.

To come back to a conversation later, hover it in the list and select the envelope button to mark it unread. On an unread conversation the same button marks it read without opening it.

Archive a Text Thread

Hover a conversation in the list and select the archive button. Archived threads move out of the list into Archived, and a new text from that person brings the conversation back automatically.
