Send a Client a Request for Documents

Ask a client for the documents a file needs, with or without sending the application first, and track what comes back.

Asking a client for paperwork happens in two moves. The intake is the application itself, filled in by your client. Everything after it is a request against that application. You can also skip the application and send documents first.

Send the Application

  1. Open the deal and choose Send intake.
  2. Search your clients by name or email, then add anyone else on the application with Add a co-applicant. Each person needs their own email address, because their answers are keyed to them.
  3. Choose Send it to email it, or Copy a link instead when the client has no email on file or your own mailbox is not connected yet.

Ask for Documents Against It

Choose New request on the deal. The Documents tab is your doc library, every document you can ask for, including any your team added. Documents your rules match arrive already ticked, with the reason beside each. Untick what you do not need.

The filters above the list narrow it. Favourites holds the documents you starred, Recently Requested holds what your team last asked clients for, newest first with the date beside each, and My Documents holds the ones your team wrote. Most files ask for close to what the last one did, so Recently Requested is usually the shortest way to what you need. A filter appears only once there is something in it, so Recently Requested shows up after your team's first request goes out.

If your team has built packages, they sit above the list under Add a package. Choosing one ticks every document in it, and you can still untick some or add more before you review. See Build a Reusable Document Package.

On a file with a co-applicant, Who is this for? decides whose document it is. Everyone shares one copy; picking a person makes those items theirs alone.

Ask for Something That Is Not on the List

The Something else tab covers the rest. Pick Document for a file to upload, Info for a typed answer, or Signing for something they read and sign. Name it under What do you need?, add an optional note, then Add to the request. A signing item needs the document uploaded and at least one signature line before it saves.

Review the Package Before It Goes

Review Package moves to the second step, listing everything you picked.

Each item there carries a note field. Whatever you write becomes the line your client reads under that document, so use it to say which year, how many pages, or where to find it. It replaces the standard guidance for that document.

Under the list, Message to Your Client is one covering note at the top of the email. Both are optional, and Back returns you to the library.

Send It as One Email

Preview shows the items as the client will see them. Send Request sends everything staged in a single message that lists only what this round asks for, not what they already owed you. The button in it opens on their requests, with the same link written out underneath for anyone whose mail app hides buttons.

Skip the Application and Send the Hub

With no application out yet, Request Documents opens the same composer, and sending it opens the client's hub with those documents in it. A banner names what you give up: no application is collected. It is otherwise the same hub, with their tracker and your resources, and your consent form still goes with it.

Preview shows that hub with the documents you ticked. This is one-way: once the client is in their hub, the application cannot be sent to them on that deal.

When the Ask Waits for an Unfinished Application

If the client is still filling in their application, the button reads Queue for client. Nothing is emailed; the items appear in their hub once they submit.

Track What Has Been Returned

The request shows a strip of only the stages it has. Intake appears when you asked questions, Signed when you asked for a signature, each with a count of how many are in. Documents is always there, and Submitted is last.
