Set a Contact's Type and Partner Role

Understand which types BrokerPlus works out for you, which ones you set, how someone can be a client and a partner at once, and what a partner role adds.

Every contact carries a Type - Client, Lead, Partner, or Broker - so a filter, automation, or teammate knows the relationship. Two are worked out for you, two you set, and a fifth pill, Other, is for people who are none of the four. Partner carries a role on top of the type, and your brokerage can grow its own types too.

When You'd Use This

Open this filing a new contact, wondering why someone reads as Client when you thought they'd moved on, setting up a realtor's role so referrals show correctly, or before bulk-editing type across many contacts.

The Four Types, and What Other Means

BrokerPlus ships four: Client, Lead, Partner, and Broker (stored as co_broker, so integrations keep working). A contact can wear several at once - a realtor who also took out their own mortgage is a Partner and a Client together. Other isn't a stored type; it shows when you've deliberately filed someone as none of the four, and differs from a blank row: unfiled means nobody has decided yet, Other means you looked and none fit. Picking it clears every other type and retires a live lead; picking it again undoes the filing.

What BrokerPlus Works Out, and What You Set

Client and Lead are the derived half: Client comes from deal history, Lead from a live row on your Leads board, so both normally look after themselves. Override either when the automatic read is wrong, say on incomplete imported history - picking Client pins it against a later recompute, and turning off Lead archives the board row rather than hiding a pill.

Partner and Broker are yours outright, written straight to the record with no deal or board involved.

Changing Type Across Many Contacts

Select the contacts in the Contacts table - the selection holds as you page through - and open the Type button in the bar that appears. Every type is there: Client, Lead, Partner, Broker, Other, and any your brokerage has made its own.

Each row reads the whole selection. A full check means everyone selected has that type, a faint check means only some do, and no check means none do. Pressing a row that isn't fully checked gives the type to everyone selected; pressing a fully checked row takes it off everyone. Changes save as you click - there's no Apply step.

Pressing one type never touches the others, with one exception: Client and Lead replace each other, since a contact is one or the other. Adding Lead leaves anyone who's already a Client as a Client. Uncheck every row and those contacts carry no type at all - they are not filed as Other unless you press Other yourself.

Giving a Partner a Role

Once someone carries the Partner type, a Partner Role field appears on their profile - Realtor, Lawyer/Notary, Appraiser, Lender Contact, Insurance Broker, and others. It's one role at a time; picking a new one replaces the last, and shows as its own pill beside Partner wherever type chips appear.

Turning a Tag Into a Contact Type

Type and tags look separate, but underneath a type is a tag with one flag set. Open Manage tags, edit or create a tag, and switch on Use as a contact type: the label joins Client, Lead, Partner, and Broker brokerage-wide, and everyone carrying that tag picks it up automatically. Switch it back off and it returns to a plain, coloured tag. Reach for this when a label is really a brokerage-wide filing decision - "Insurance Referral," "Investor" - not a note you'd hang on a few contacts and forget.

Common Gotchas

  • A contact with no type reads differently from one marked Other - don't assume a blank row means someone decided.
  • Taking every type off a contact who has deals is not permanent - their deal history can file them as Lead or Client again the next time a deal changes. Press Other if you want them to stay filed as none of the four.
  • Promoting a tag to a type changes what every contact carrying it shows everywhere, immediately, with no draft or preview.
