Turn On the Meeting Notetaker

Have a notetaker join your video calls, take notes, and file the recap against the right record.

The notetaker joins a video call, records it, and files a transcript and recap against the meeting. It can join every call automatically, or you can send it to a single meeting by pasting the link. What it does after the call depends on switches spread across three places: workspace settings, your calendar preferences, and the event itself.

When You'd Use This

Use this when you want calls to record themselves instead of remembering to add a notetaker each time, when you need to know why it joined (or didn't join) a specific meeting, or when you're setting this up for the first time and want more than the quick steps in Connect Your Email.

Turn On Auto-Join and Choose Your Calendars

The notetaker becomes available once BrokerPlus's recording and transcript delivery are configured for your workspace, not by an admin flipping a switch. Under Settings > Integrations, an admin can see that readiness as two status checks (recording access and transcript delivery) and set the Bot display name, the name every attendee sees when it joins. Nobody else can rename the bot; everyone else sees the current name read-only.

Each broker turns the feature on for themselves. On Calendar, open the Meetings tab and switch on Auto-join meetings; the switch stays disabled until the workspace is ready. Once it's on, open the gear icon on the meetings panel to pick Calendars It Joins - a per-calendar switch that only appears once auto-join is on and you have calendars connected. A calendar you don't select there is simply skipped, even while auto-join is on.

Get a Recap Emailed to You

In that same gear popover, Email everyone a recap sends the summary to you and the call's attendees once it's ready. Leave it off and the recap still files against the meeting; you just have to come find it instead of it landing in your inbox.

Send the Notetaker to One Meeting

You don't need auto-join to use the notetaker once. Select Add on the meetings panel, paste the Zoom or Google Meet link, optionally give this bot its own name, and select Send Notetaker. For a meeting already on your calendar with a joinable link, open the event and use Add Notetaker (or Remove Notetaker once it's in) right from the event detail popover.

When you create or edit an event, the Record With Notetaker field on the editor gives you three choices: Use calendar setting, On, or Off. That per-event choice always overrides auto-join, whichever direction it goes.

Common Gotchas

  • A per-event choice always wins. Set an event to Off and the notetaker skips it even with auto-join on; set it to On and the notetaker joins even for a calendar you didn't mark eligible.
  • "Setup in progress" can mean different things depending on who's looking. An admin sees which of the two readiness pieces is missing; everyone else just sees that it isn't ready yet.
  • A recap not landing in your inbox doesn't mean it didn't happen. Check the meeting's own row if you left the recap email off.
