Set Your Email Signature Per Inbox

Give each connected inbox its own sign-off, or let it follow your default.

You have one personal signature by default, and every inbox you connect signs with it. If you run a second inbox, like a shared team address, you can give that one its own sign-off instead.

Your Default Signature

Your default signature lives under Canvas > Your Brand > Personal, next to your name, title and phone. It's the one every connected inbox uses unless you've given that inbox its own. Most brokers never need more than this.

You can also edit it from Settings > Email. The two surfaces show the same field, they just save differently: Settings saves as you type, while Canvas holds your change in a draft until you select Save changes.

Giving One Inbox Its Own

If you have more than one connected inbox, a picker appears above the signature editor so you can choose which one you're editing. Select Your default to keep editing your personal signature, or pick a connected inbox, such as a shared team inbox, to give it a different sign-off.

Only the person who can manage a given inbox sees it in the picker. For a shared team inbox, that's the team's broker; a personal inbox always belongs to the person who connected it.

Switching the picker swaps in that inbox's own text, so you're never editing two signatures at once by accident.

Handing an Inbox Back to Your Default

There's no separate reset button. Select the inbox in the picker, delete everything in its editor, and it goes back to following your default automatically. The hint line under the editor tells you which state you're in, so you can always see whether an inbox is signing with its own text or following you.

Pasting a Signature From Gmail or Outlook

You can paste a signature straight out of Gmail or Outlook rather than rebuilding it by hand. Whatever font the paste carries with it stays exactly as it was copied. Your brand's email font doesn't override it, because a font set directly on the pasted text takes priority over the font applied around it.

This is also why the email font you choose in Canvas is a separate setting from the fonts used on your documents and reports. Email clients strip out custom webfonts entirely, so your email font list is limited to faces a reader's own device is likely to already have.

Where Your Signature Is Added for You

You never attach your signature yourself. It's added automatically the moment a message actually goes out, wrapping both your message and your sign-off in your brand's email font, except for any formatting already set inside a pasted signature, which is left untouched.

Common Gotchas

If you only have one connected inbox, you won't see a picker at all, just your default signature editor. That's expected. The picker only shows up once you have a second inbox to give its own signature to.

What to Do Next

Add your headshot and contact details so your reports carry a full personal identity alongside your signature, or head to Settings > Email to connect a second inbox if you haven't yet.
