A segment is a saved audience: the people a campaign sends to, kept separate from what the campaign says and when it goes. Build one once and reuse it across sends, or build a fresh one for a single push. There are three ways in, and you can mix all three in one segment.
Starting From Leads, Clients or Partners
Open the segment builder and the whole book is already there - nobody has to search before seeing anyone. The filter panel groups your book by what it's about: Leads (stage, outcome), Clients (deal status, funded window, credit score, property type, occupancy, lender), Partners (role), plus narrower groups for refinance savings, renewal windows and equity report cadence. Pick a group to see the chips that actually apply to your book - a chip group filled from your own data, like lenders or property types, only ever shows values you actually have.
Narrowing With the Chips
Tap chips to narrow the list, and the count updates live as you go. Chips inside one group narrow together; picking a different group starts a new line of narrowing rather than replacing what you already chose, so you can combine "funded in the last 6 months" with "credit score 680+" in one segment. Add all matching drops every contact currently matching your filters straight into the segment in one click.
Hand-Picking People
Below the filters is a plain, searchable list of the book, and you tick people into the segment one at a time. Search reaches further than a name: it matches encrypted contact details and, separately, the lender named on a person's deal, so typing a lender's name finds everyone holding a mortgage with them. The segment panel beside it always shows the live count - matched minus suppressed - so you see who will actually receive a send, not just who you added, along with a breakdown of who dropped out and why.
Importing a List You Already Have
Import list takes a CSV, spreadsheet or vCard file. Everyone in it lands in your CRM, deduplicated by email, and is added to the segment automatically - no separate mapping step. Once it's in, you can optionally tag the whole import as leads, clients or partners, or leave everyone untagged and sort it out later.
Saving a Segment From Opportunities
You don't have to start in the segment builder at all. Select rows anywhere in your book view and choose Save as segment - it pulls the main client off each selected file into a new segment, one message per household even if a file has more than one contact. If a selected file has no client on record, that file is left out and you're told how many made it in.
What to Do Next
- Run a Campaign once your audience is saved.
- Organize Contacts With Tags to keep an imported list easy to filter on next time.
- Read about reaching a whole pipeline lane at once on the marketing help center.
