The mortgage process checklist is the sequence of steps your brokerage works through on every file, whatever your crew actually does between intake and funding, such as ordering instructions, booking an appraisal or confirming insurance. Build it once and it appears on every deal your team touches.
What the Checklist Is For
Steps belong to your team, not to one deal, so anything you add or rename here changes the checklist on every file your team works, past and future. A brand-new brokerage starts with nothing on the list rather than someone else's workflow to delete first; the checklist only fills once you type into it. A step can also be tied to a column on your board and marked as blocking, in which case a deal can't leave that stage until the step is checked, the same kind of gate you can set up on the board itself.
Ticking a Step on a Deal
On the deal, the checklist collapses by default and expands to show every step as a checkbox, grouped under the board column it's tied to whenever any steps are. Checking a box records that step as done for this file only. The count beside the section header tracks how many steps are done and, when any blocking steps are still open, how many are still holding up the next stage move.
Adding, Renaming, and Removing Steps
Press Edit to reveal Add Step, along with a rename field and a remove button on every row. A step's name becomes its identity when you first add it; typing over the label later only changes what's shown, so the ticks already filed against it stay put. Removing a step archives rather than deletes it. The confirmation says out loud that it comes off every file, not just this one, and every tick already recorded against it is kept rather than erased. Adding a step under the same name later revives the archived one and brings its history back with it.
Reordering the Steps
With Edit on, drag a step by its handle to change where it falls in the list, by mouse or, for the handle itself, by keyboard. The order you land on is the order every file sees, so it's worth settling once rather than fixing it deal by deal.
The Same Checklist in the Advanced Grid
The advanced grid renders the same steps as columns across every deal, one row per file, so you can triage a whole book at once instead of opening each deal in turn. Each cell holds three states rather than two: Yes, No or Not Set, because "we decided not to order an appraisal" and "nobody has looked yet" are different facts, and collapsing them would lose the difference. Click a cell to pick the state directly from a menu rather than cycling through it, since marking a step Yes can move the deal and trigger whatever your team has set up to run next.
